PRIVACY
Privacy Policy
Speechy adds live AI interpretation to Zoom meetings. This policy explains what information Speechy handles, why, who helps us process it, how long we keep it, and how you can ask us to access or delete it.
1. Who we are
Speechy is operated by Armstrong Image LLC, a limited liability company organized in North Carolina ("Speechy", "we", "us"). Privacy questions and requests: [email protected].
2. The short version
- Speechy translates meeting audio live and does not record or store meeting audio, translated audio or transcripts.
- We store only what we need to run and bill the service: Zoom account and user IDs, meeting usage (minutes and languages), your plan, and an encrypted Zoom authorization for hosts who allow it.
- We do not sell or rent personal information and do not use it for advertising.
- When an organization removes Speechy from Zoom, we delete its personal data and keep only its plan and minute counts for a limited time, as described in section 7.
3. Information we process
When a host uses Speechy in a Zoom meeting
| Information | Why | Kept |
|---|---|---|
| Zoom account ID and the Zoom user ID of the host or co-host who uses Speechy | Confirm who may control interpretation, apply the right plan, count usage | While the account uses Speechy (section 7) |
| Meeting ID and the host and co-host roles in that meeting, received from Zoom | Allow only the meeting's host or co-hosts to start and stop interpretation | Deleted when the meeting ends (a marker of the ended meeting is kept for 24 hours) |
| Usage records: when interpretation ran, which languages, how many minutes, and which host started it | Plan limits, billing, support | While the account uses Speechy |
| Plan and billing references: your plan, subscription status, and the IDs Stripe gives your customer record and subscription | Apply the plan you pay for and bill for it | While the account uses Speechy, then as described in section 7 |
| Zoom authorization tokens for a host who allows Speechy (one time) to join meetings on their behalf | Zoom requires a host's authorization before an app's interpreter can join their meetings | Encrypted (AES-256). Deleted when the host removes Speechy, revokes access, or leaves it unused long enough that Zoom expires it |
| Live meeting audio, streamed by Zoom to Speechy while interpretation is on | Translate speech into the languages the host chose | Not stored. Held in memory for a few seconds while it is translated, then discarded |
| Translated audio | Played into Zoom's interpretation channels for listeners | Not stored. Discarded after it is played |
Speechy's interpreters join the meeting as participants named for their language (for example, "Speechy Spanish Interpreter"). They do not record the meeting, use a camera, or read chat. Speechy does not collect participant names, email addresses, chat messages, or video.
Service logs
Our servers keep operational logs (for example, "interpretation started", error codes and minute counts) to keep the service running and to investigate problems. They do not contain meeting audio, transcripts, meeting content, passwords or tokens. Our hosting provider keeps these logs for a limited time (currently 7 to 30 days, depending on our plan).
Our website and email
This website (speechy.live) has no forms, cookies, analytics or advertising. Our website host processes basic request information (such as IP address and pages requested) to deliver and protect the site.
Your account page and payments
Your Speechy account is your Zoom account; there is no separate password. When you sign in with Zoom on the account page (app.speechy.live/account), Zoom tells us your Zoom user ID, your Zoom account ID and whether you are the account's owner or an admin, so we can show your organization's minutes and let only owners and admins change the plan. Signing in adds Speechy to your Zoom account, like installing it from the Zoom App Marketplace. We keep one sign-in cookie, needed for the page to work, that expires after 8 hours; we do not use it for anything else.
Paid plans are processed by Stripe. Stripe collects your card details, billing name, email and address under its own privacy policy; Speechy never receives card details. We receive and keep only Stripe's customer and subscription IDs, your plan and its status.
If you email us, we receive your address and message and keep them as long as needed to respond and for our records. Messages to our support address get an automatic reply with a ticket number. To track and fix the problem, we copy the message into our private issue tracker (hosted by GitHub) after automatically removing email addresses, Zoom links, passcodes and phone and other long numbers; your email address is not copied. Software tools, including AI coding assistants, may read these tracker entries to help us diagnose and fix problems.
4. How we use information
We use the information above only to provide live interpretation, enforce plan limits, bill for the service, provide support, keep the service secure, and comply with law. We do not use meeting audio or translations to train AI models, and our translation provider does not either (section 5).
5. Who we share it with
We share information only with the service providers that run Speechy for us, under their terms and only as needed for the purposes above:
- Zoom — the meeting platform; sends us meeting audio and meeting events and receives the translated audio.
- OpenAI — performs the speech translation. Under OpenAI's API terms, audio sent through its API is not used to train its models, and OpenAI may keep abuse-monitoring logs for up to 30 days.
- Stripe — processes payments for paid plans; receives the details you enter at checkout and the Zoom account ID the plan is for.
- Render — hosts our application, database and website in the United States.
- Amazon Web Services — runs the interpreter servers that join meetings, in the United States. They do not store audio.
The current list, with what each provider receives, is on our Service providers page. We may also disclose information if required by law, to protect people's safety or our rights, or as part of a merger or sale of the business (with this policy continuing to apply).
6. Security
Connections are encrypted in transit. Zoom authorizations are encrypted at rest; the database is not reachable from the internet; servers have only the permissions they need; and every request is checked against Zoom's signed meeting context and the meeting's host roles. See our Security page. No system is perfectly secure, and we will notify affected customers of a security incident as required by law.
7. How long we keep information, and deletion
- When a user removes Speechy from Zoom, Zoom notifies us and we promptly delete that user's authorization, their account membership and meeting role records, and remove their user ID from usage records.
- When the last user of an organization removes Speechy, we also delete the other Zoom authorizations and meeting records for that organization. We keep the organization's record (its Zoom account ID, plan, minute counts and Stripe references, without any user IDs) for 12 months, so that adding Speechy again, or paying on our website, restores the same account and its minutes. After 12 months we delete it, unless a paid subscription is still active. Removing Speechy does not cancel a paid plan: cancel it on your account page. You can ask us to delete the record sooner (section 8).
- Otherwise we keep usage records while the organization uses Speechy and as needed for billing, tax or legal obligations.
- You can ask us to delete your data at any time (section 8).
8. Your rights and choices
You can ask us to access, correct, export or delete personal information we hold about you, or object to or restrict how we use it. Email [email protected] from the address linked to your Zoom account; we may need to verify your identity or your authority for an organization. We respond within 30 days, and will not treat you differently for making a request. Depending on where you live (for example California, Virginia, Colorado, or the European Economic Area and United Kingdom), you may have additional rights under local law; you can use this same contact to exercise them, and you may complain to your local data protection authority. See Data requests.
Hosts control whether Speechy runs: interpretation only processes audio while a host has started it, and stops when the host stops it, leaves, or the meeting ends.
9. Children and meetings with minors
Speechy is used by organizations and their adult hosts; we do not offer accounts to children and do not knowingly collect personal information from children under 13. Meetings that use Speechy, such as church services or classes, may include minors. Speechy does not identify participants and does not store meeting audio. The organization hosting the meeting is responsible for any notice or consent its policies or the law require for participants, including parents or guardians of minors. If you believe we hold a child's personal information, contact [email protected] and we will delete it.
10. Notice to meeting participants
Hosts should tell participants that live AI interpretation is in use. Zoom shows participants that an app is accessing meeting content while Speechy's audio stream is active, and Speechy's interpreters appear in the participant list.
11. Where information is processed
Speechy's servers are in the United States. Our providers may process information in other countries under their own safeguards. If you use Speechy from outside the United States, your information will be transferred to and processed in the United States.
12. Changes to this policy
We will post changes here and update the date below. If a change materially affects how we handle personal information, we will notify account owners before it takes effect.
